VFWA needs an evidence-management workflow, not necessarily new software. This section maps the main implementation options.
The model requires five practical operations: capture Stage 1 under observed conditions, preserve a copy for the assessor, return a copy to the student for Stage 2, check sufficiency quickly enough that students can proceed, and compare Stage 1 and Stage 2 side by side during marking.
No single method is correct; the choice depends on cohort size, infrastructure, accessibility needs, and disciplinary context. For pilots, the simplest feasible option is usually best.
A structured template makes both sufficiency checks and later comparison much faster. Rather than blank paper or an open text box, give students a template with these fields:
Sufficiency is a binary hurdle: has the student produced enough for Stage 1 to serve as a meaningful evidentiary anchor?
Students need access to their Stage 1 artefact for Stage 2. The institution also needs to retain a copy. Options include:
The student needs their Stage 1 artefact to do Stage 2 well. Make return automatic wherever possible.
The marker needs to see Stage 1 and Stage 2 together. This is the workflow step most likely to determine whether staff find VFWA manageable.
The software should make the evidentiary link effortless to see. But the minimum viable version is just: place Stage 1 beside Stage 2 during marking.
The right implementation depends on scale. For large cohorts, over-flexibility becomes a risk β the design must be highly disciplined.
